Event & Volunteer Operations Coordinator

The position

We’re looking for an Event & Volunteer Operations Coordinator to assist with the planning and execution of all operational aspects of Pelotonia’s annual Ride Weekend & Gravel Day, as well as collaborating with team members and partners to plan and execute additional events throughout the year. This individual will also be responsible for assisting with Pelotonia’s Volunteer program, notably collaborating to guide the Lead Volunteer program in their operational roles in carrying out all Pelotonia events.


You will report to the Director - Event Operations and be an integral part of the team in our relentless pursuit to raise funds for innovative cancer research. Key responsibilities include the below, with other duties as assigned:


Ride Weekend & Gravel Day Event Operations (60%)

  • Manage supply inventory of Pelotonia warehouse, including tracking and confirming orders and allocations for Ride Weekend & Gravel Day, loan of supplies to community partners, and consistent inventory management.

  • Source, manage, and steward relationships with key operational partners and vendors contributing to Ride Weekend and Gravel Day.

  • Manage and own all relationships with venues to be used as rest stops.

  • Complete and submit all necessary documentation for event permits.

  • Mentor and manage a full-time seasonal Event Operations Intern.

  • Create and maintain documentation of Ride & Gravel Day planning processes to assist in knowledge transfer and historical records.

  • Update and implement accessibility plans for all Pelotonia events and venues.

  • Create and update spectator communication plans for all Pelotonia guests.


Auxiliary Event Operations (20%)

  • Serve as event operations lead for the annual events, including Pelotonia Summit, Launch Week events, Pelotonia Kids event series, Captain Academy and additional events as assigned

  • Assist the Director – Event Operations on planning and execution for additional auxiliary events throughout the year as needed.


Volunteer Management (20%)

  • Assist with the training and support of 50+ Lead Volunteers who serve as primary members of the event operations team for Ride Weekend.

  • Lead management of event-based medical volunteers, including serving as the main contact for Medical Lead team, securing EMT services across events, coordinating needed supplies, etc.

  • Coordinate the operational aspects of the SAG volunteers, including equipment & training for Ride Weekend and Gravel Day.

  • Previous experience in event management, hospitality, and/or project management

  • Self-motivated, friendly, outgoing, and humble personality

  • Interest in working in an innovative and highly collaborative environment

  • Excellent verbal and written command of the English language

  • Basic working knowledge of Microsoft Word and Excel

  • Previous Salesforce or CRM experience is a plus, but not required

  • Administrative or customer service experience is a plus, but not required
